JOB TITLE: Archive Clerk JOB SUMMARY: Being accountable to the General Account Section Head, the Archive Clerk is responsible to file correspondence, cards, invoices, receipts, and other records in alphabetical or numerical order or according to the filing system used. Locate and remove material from file when requested. MAJOR DUTIES AND RESPONSIBILITY: Being accountable to the General Account Section Head File and maintain file correspondence, cards, invoices, receipts, and other records in alphabetical or numerical order or according to the filing system used. Keep records of materials filed or removed, using file box, logbooks or computers. Add new material to file records, and create new records as necessary. Track materials removed from files in order to ensure that borrowed files are returned. Gather materials to be filed from departments and employees. Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order. Find and retrieve information from files in response to requests from authorized users. Scan or read incoming materials in order to determine how and where they should be classified or filed. Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information. Assign and record or stamp identification numbers or codes in order to index materials for filing. Actively listens giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. Talk to others to convey information effectively. Understand written sentences and paragraphs in work related documents. Understand the implications of new information for both current and future problem-solving and decision-making. Arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations). Generate or use different sets of rules for combining or grouping things in different ways. Perform day-to-day administrative tasks such as maintaining information files and processing paperwork. Develop specific goals and plans to prioritize, organize, and accomplish the work. Develop constructive and cooperative working relationships with others, and maintaining them over time. QUALIFICATIONS: Education and Training: Diploma in Accounting and Finance. 1 year experience Various training in handling documents and files as well as tour and hotel business. Proficiency in writing, speaking, and reading. Interested to work with people and be able to win the respect and confidence of others.
