Job Description

Purpose of the Jobs: The office manager is responsible to ensure the proper management of administrative activities of the organization.

Major Duties and Responsibilities

  • Greet and look after all clients with strong customer service and communications skills and interprets and translates as required;
  • Screen and manage all incoming/outsourcing correspondence (post, fax, email) and prioritizes accordingly;
  • File documents according to execution numbers and filing protocols to assist in document control processes
  • Participates in internal and external meetings and workshops and assists with documenting
  • Ensure all office files are managed according to confidential and internal processes
  • Review and summarize reports and documents
  • Coordinates and monitors schedule and ensures agreed blocks of time are kept clear for planned events;
  • Coordinates and organizes rooms, equipment etc for meetings along with the responsible person;
  • Support teams in creating and maintaining a professional filing system for the office, treats information confidentially, specifically in the areas of personnel and finance
  • Performs other duties and tasks at the request of the project manager 


Academic qualification

  • BA/Masters in Business Management and related fields

Additional qualifications

  • Able to communication verbally and in written format to all organizational levels
  • Ability to prioritize and organize through excellent organizational skills
  • Ability to work in fast paced environment
  • Strong knowledge of MS Office, including word, Excel, power point and Outlook;
  • Efficiency in English, both writing and speaking is essential (local regional language is an additional asses)
  • Ability to create and work in team with excellent work ethics
  • Self-motivated, result-oriented attitude and well-organized
  • High degree of efficiency, integrity and accountability
  • As a first impression for guests, someone who comes across as positive and can provide exceptional customer handling service;
  • Preferably with previous experience in Hotel industry;

Years of experience: Minimum of 5 years of experience in a comparable position
