Role purpose
The Personal Assistant will be in charge of providing support to the Supply Chain Director and in the day-to-day management of the organization and plays a pivotal role in supporting, through a mixture of organizational and administrational tasks.
 
Top Accountabilities
1. Organizational Tasks:

  • Manage store
  • Manage accessibility to the director’s complex diary,
  • Assist in the preparation and distribution of correspondence and documents i.e. Presentations & pre-readings distribution for meetings.  
  • Provide cover for other team assistant during peak workload, sickness or holidays.
  • Support the Director with ad hoc personal requests and translations.
  • Work with site teams to deliver Supply Chain Director’s agenda.
  • Manages Travel and expense claims and other related invoice matters on behalf of SCD and his leadership.
  • Organise and co-ordinate functional and business meetings including video conferencing, domestic and International.


2. Communication:

  • Identify and drive forward initiatives to continuously improve communication across the organisation.
  • Build, develop and maintain relationships with key external / internal contacts and build cross-functional network within own peer group
  • Ensure fluid communication is maintained with the Director at all times, - screen telephone calls, dealing with all queries and forwarding to relevant parts of the function when necessary.

3. Travel:

  • Organize travel arrangements for visitors (internally and externally) coming to Meta to attend a meeting with  the Director.
  • Organize “Letter of Invitations” for visitors to Ethiopia upon approval 
  • Book international and domestic flights for internal staff upon approval

Qualification and experience required

  • Bachlors degree Secretarial qualification preference.
  • Previous experience of managing and co-ordination of events & business meetings.
  • Proven strong English and Amharic language skills
  • Takes full accountability for work of a high standard at all times and sees through to completion. 
  • Proactive in looking for opportunities to do things better and to improve the efficiency and ways of working.
  • High level of initiative, to ensure things happen and the ability to work independently.

  • Flexible in working hours to adjust to SUPPLY CHAIN DIRECTOR’s agenda requirements.
