Job Overview

Position: Executive Associate
Employment Type: Full-time, Regular Assignment
Duty Station: Addis Ababa, Ethiopia

Reporting to the Country Representative, the Executive Associate will provide executive administrative support, manage information flow, and ensure timely communication and compliance with deadlines. The role involves coordinating meetings, travel, and external relations while maintaining confidentiality and professionalism.


Key Responsibilities

  • Manage the Country Representative’s calendar, appointments, and travel logistics.
  • Maintain contact rosters and update mailing lists.
  • Screen calls and manage administrative files related to missions.
  • Organize meetings, workshops, and events, including logistical and financial arrangements.
  • Prepare minutes, briefing materials, and presentations.
  • Monitor filing systems and follow up on deadlines.
  • Facilitate communication between the Country Representative’s Office and other units.
  • Review and route correspondence, ensuring timely responses.
  • Maintain confidential files and assist with translations when required.
  • Support external relations, including protocol arrangements for high-level visitors.
  • Contribute to knowledge management and sharing within the office.
  • Perform other duties as required to ensure efficient office operations.

Required Qualifications & Skills

Education

  • Completion of secondary education (required).
  • Bachelor’s degree in Business Administration or Public Administration (asset).

Work Experience

  • At least 7 years of progressively responsible experience in administrative, secretarial, or programme support.
  • Experience with Microsoft Office and web-based management systems (required).
  • Experience with modern ERP systems, preferably Oracle Cloud (desirable).

Technical Skills

  • Strong IT and web-based management system skills.
  • Ability to administer and execute administrative processes.
  • Ability to handle confidential work and manage large volumes of tasks.
  • Knowledge of administrative rules and regulations.

Soft Skills

  • Integrity, professionalism, and respect for diversity.
  • Effective communication and inclusive collaboration.
  • Strong organizational and problem-solving abilities.

Preferred / Additional Qualifications

  • Experience in international or multicultural organizational settings.
