Position Overview

The Warehouse & Fleet Assistant supports the Administration and Operations team in managing warehouse stocks, assets, and vehicle fleets. This role ensures efficient logistics and operational support for field teams. The position reports directly to the Logistics Officer.

Key Responsibilities

Warehouse Management:

  • Ensure incoming goods match specifications; prepare GRNs.
  • Safely store, pack, and organize inventory; design floor maps.
  • Maintain stock records, reconcile with finance, and monitor expiry dates.
  • Implement standard store procedures across field offices.
  • Oversee loading/unloading, issue goods per requests, and prepare reports.
  • Maintain health & safety standards in line with FMHACA and FHI 360 requirements.

Fleet Management:

  • Schedule, coordinate, and optimize vehicle use.
  • Monitor vehicle maintenance, security, and fuel inventory.
  • Supervise drivers; enforce safety and agency policies.
  • Maintain fleet records and generate management reports.

Asset & Inventory Maintenance:

  • Update asset register; track inventory movements and disposals.
  • Arrange repair and maintenance of non-mechanical assets.
  • Support proper documentation and reporting of assets and stock.

Requirements

Education:

  • Associate or Bachelor’s degree in Management, Purchasing, Business Administration, or Pharmacy.

Experience:

  • Minimum 2 years in store management; NGO experience preferred.

Skills:

  • Attention to detail, data analysis, problem-solving.
  • Proficiency in Microsoft Office 365 and office systems.
  • Ability to prioritize tasks, communicate clearly, and maintain accurate records.

Physical Demands:

  • Typical office environment; ability to sit/stand for long periods.
  • Travel: <10%
