Position: Executive & Administrative Associate (NPSA 6)
Summary
Reporting to the Special Representative to the AU & UNECA, the Executive & Administrative Associate provides high‑level executive, administrative, and operational support to ensure smooth office operations, effective communication, and timely coordination across teams.
Key Responsibilities
1. Executive Support
- Manage the Special Representative’s calendar, meetings, and appointments.
- Arrange travel, accommodation, and mission logistics.
- Maintain contact rosters and electronic mailing lists.
- Screen calls and manage confidential communication.
- Organize mission files, reports, and briefing materials.
2. Administrative & Operational Support
- Organize travel approvals, meetings, workshops, and events.
- Prepare briefing materials and background documents.
- Draft minutes, track action points, and follow up on deadlines.
- Support procurement processes (RFQs, ITBs, RFPs), vendor management, and PO tracking.
- Assist with HR processes, TOR drafting, and interview coordination.
3. Communication & Information Management
- Facilitate information flow between the Special Representative and internal/external partners.
- Review and route correspondence; prepare routine communications.
- Maintain organized electronic and hard‑copy filing systems.
4. External Relations & Protocol
- Support engagements with AU, UNECA, diplomatic missions, and partners.
- Handle protocol matters and coordinate high‑level visits.
5. Knowledge Management
- Support knowledge sharing, documentation, and best‑practice dissemination.
Required Qualifications
Education
- Completion of secondary education (required).
- Bachelor’s degree in Business or Public Administration (asset).
Experience
- Minimum 6 years of progressively responsible administrative, secretarial, or programme support experience.
- Experience with UN agencies or international organizations (required).
- Experience with Microsoft Office and web‑based management systems (required).
- Experience with ERP systems (Oracle Cloud preferred).
Languages
- Fluency in English required.
