Job Summary
The Procurement & Logistics Officer will manage procurement, warehouse, asset, and fleet operations to ensure timely availability of goods and services, proper accountability, and compliance with organizational, donor, and government regulations.
Key Responsibilities
Procurement Management
- Plan and manage procurement processes in line with budgets.
- Prepare requisitions, RFQs, ITBs, RFPs, bid analysis, contracts, and purchase orders.
- Ensure transparent and competitive procurement practices.
- Maintain supplier/vendor databases and procurement documentation.
Warehouse & Inventory Management
- Oversee safe and efficient storage of goods.
- Maintain accurate stock records and conduct physical inventory counts.
- Ensure FIFO/FEFO principles and warehouse safety standards.
Asset Management
- Maintain asset registers and coordinate tagging/verification.
- Track asset allocation, movement, and disposal processes.
- Investigate and report asset losses or damages.
Fleet Management
- Manage vehicle allocation, scheduling, and utilization.
- Monitor logbooks, fuel consumption, mileage, and maintenance.
- Ensure valid insurance, licenses, and compliance with fleet policies.
Compliance & Reporting
- Ensure logistics activities comply with organizational and donor rules.
- Prepare procurement, warehouse, asset, and fleet reports.
- Support audits and coordinate with program and finance teams.
Qualifications
- Bachelor’s degree in Logistics, Supply Chain Management, Procurement, Business Administration, or related fields.
- Professional certification in Procurement/Supply Chain is an advantage.
Experience:
- Minimum 3–5 years in logistics, supply chain, or operations.
- Proven experience in procurement, warehouse, asset, and fleet management.
- NGO, UN, or donor-funded project experience preferred.
Skills & Competencies:
- Strong knowledge of procurement/logistics procedures.
- Excellent planning, organization, and coordination skills.
- High integrity, attention to detail, and problem-solving ability.
- Proficiency in MS Office and logistics/ERP systems.
- Strong communication skills in English (local language knowledge is an asset).
