About the Programme

Ethiopia hosts over 1 million refugees and 1.9 million internally displaced persons (IDPs). To address limited employment and income prospects, the German Federal Ministry for Economic Cooperation and Development (BMZ), with co‑financing from the European Union, has commissioned GIZ to implement QEP II. The programme expands skills training, strengthens TVET‑private sector linkages, and creates inclusive learning environments for refugees, IDPs, and host communities in Addis Ababa, Somali Region, Benishangul Gumuz, and Tigray.


Position Overview

The Project Office Assistant provides essential administrative, logistical, and coordination support to ensure smooth day‑to‑day operations of QEP II in Addis Ababa. The role facilitates communication and documentation between project staff, partners, and communities, contributing to efficient implementation of activities across multiple regions.


Key Responsibilities

Logistics & Event Coordination

  • Organize and coordinate meetings, workshops, and training sessions in Addis Ababa and regions.
  • Support procurement of goods/services for events and prepare documentation.
  • Arrange accommodation, transport, and travel logistics for staff and consultants.
  • Manage office reception, visitor logs, and correspondence.

Inventory & Stock Management

  • Receive and inspect deliveries, verify goods against purchase orders.
  • Share updated stock lists and asset status with logistics specialists.

Administrative & Secretarial Support

  • Draft correspondence, memos, and reports.
  • Assist in preparing project documents, presentations, and communication materials.
  • Manage calendars, appointments, and meeting schedules.
  • Record meeting minutes and track follow‑up actions.
  • Maintain organized filing systems (electronic and physical).

Field & Coordination Support

  • Assist with logistical preparations for field missions and community events.
  • Support documentation (attendance sheets, photos, reports).
  • Facilitate communication between regional, woreda, and community partners.
  • Provide translation/interpretation support when needed.

Qualifications

  • Education: Bachelor’s degree in Business Administration, Management, Accounting, Logistics, or related field.
  • Experience: 2–3 years in office administration, logistics, or event coordination (GIZ/international development experience preferred).
  • Languages: Very good command of English and Amharic.
  • Competencies:
    • Strong organizational and multitasking skills.
    • Excellent interpersonal and communication abilities.
    • High attention to detail, integrity, and accountability.
    • Ability to work independently under pressure.
    • Readiness to work in rural/lowland field environments.
