Job Summary

Samaritan’s Purse is seeking a Receptionist / Administrative Assistant to provide front office and administrative support.

The role requires a highly organized and proactive individual with strong communication skills to manage office operations, assist visitors, and support staff logistics in a professional NGO environment.


Key Responsibilities

Front Office & Communication

  • Receive and direct phone calls and messages
  • Greet visitors and manage access to staff
  • Handle incoming and outgoing correspondence (emails, letters)
  • Maintain visitor logs and front desk operations

Administrative & Office Support

  • Prepare letters, reports, and perform data entry
  • Manage filing systems and document records
  • Support photocopying, scanning, and general office tasks

Logistics & Travel Coordination

  • Arrange meetings, trainings, and workshops
  • Coordinate accommodation and guest house management
  • Organize hotel bookings and airline travel (local & international)
  • Facilitate SIM card provision for staff and visitors

Finance & Event Support

  • Prepare payment documentation (hotels, flights, apartments)
  • Manage cash advances for office activities and events
  • Support staff engagement activities (birthdays, events, retreats)

Additional Duties

  • Assist staff with logistics, health facility access, and guest services
  • Coordinate cleaning and maintenance access to guest facilities
  • Perform other duties assigned by the supervisor

Qualifications and Requirements

Education

  • Bachelor’s Degree in Office Management, Secretarial Science, or related field

Experience

  • 1–2 years of relevant experience in office administration
  • NGO experience is an advantage

Technical Skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Knowledge of office procedures and basic bookkeeping is a plus

Language Requirements

  • Fluency in English and Amharic
  • Knowledge of a regional language is required
  • Additional local languages are an advantage
