Position: Procurement Assistant (G6/1)

Role Purpose

The Procurement Assistant will support requisitioning units throughout the procurement cycle, ensuring compliance with UN procurement policies and procedures. The role involves preparing solicitations, managing supplier relations, drafting contracts, and maintaining procurement databases.

Key Responsibilities

  • Review and prioritize purchasing requests; assist requisitioners in preparing scope of work and specifications.
  • Identify and recommend suppliers; prepare tender documents (ITBs, RFPs, RFQs).
  • Compile and analyze offers to determine best value suppliers.
  • Negotiate terms and conditions under guidance of Procurement Officers.
  • Draft contracts/agreements and prepare submissions for Contracts Committee approval.
  • Raise purchase orders and ensure funds are obligated.
  • Maintain procurement databases and track contractual agreements.
  • Resolve issues related to delivered goods, including discrepancies and returns.
  • Draft correspondence and provide procurement guidance.

Qualifications

  • Education:
    • High School Diploma required.
    • Degree in Procurement, Business Administration, Accounting, or related fields is an asset.
    • Training in IPSAS & Umoja procurement/logistics systems is an advantage.
  • Experience:
    • Minimum 7 years of progressively responsible experience in procurement, business administration, accounting, or IT.
    • Experience with procurement software and database management desirable.
    • Knowledge of UN procurement policies and procedures is an asset.
  • Languages:
    • Fluency in English (oral and written) required.
    • Excellent English writing ability essential.
    • Knowledge of French or another UN language is an advantage.
