Position: Administration Officer
Job Summary:
The Administration Officer is responsible for the day‑to‑day implementation of support functions, ensuring smooth office operations, compliance with NRC policies, and effective administrative service delivery.
Generic Responsibilities:
- Ensure adherence to NRC policies, tools, handbooks, and guidelines.
- Implement delegated support functions according to plan of action.
- Prepare and develop status reports as required by management.
- Ensure proper filing of documents.
- Promote ideas for improvement of support functions.
Specific Responsibilities:
- Receive visitors and manage front desk operations.
- Handle phone calls, appointments, and itineraries for the Country Director and visitors.
- Serve as minute secretary for meetings and maintain records.
- Register and distribute incoming/outgoing mail and courier shipments.
- Manage petty cash fund in compliance with NRC financial procedures.
- Make travel arrangements (flights, hotels, transport) for staff and guests.
- Book meeting/training rooms and ensure readiness.
- Maintain office supplies, deliveries, and inventory.
- Support logistics for visitors, including airport transfers.
- Ensure confidentiality, professionalism, and smooth office communication.
Qualifications
Professional Competencies:
- BA in Management or related fields.
- Minimum 5 years of relevant administrative experience, preferably in INGOs.
- Experience in humanitarian/recovery contexts and complex environments.
- Strong knowledge of English and commitment to humanitarian principles.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and database systems.
Context‑Specific Skills:
- Knowledge of Ethiopian laws and statutory requirements.
- Strong communication and interpersonal skills.
- Experience in INGO operations and humanitarian sector dynamics.
- Compliance mindset and conflict resolution skills.
- Cultural awareness, sensitivity, and confidentiality.
